Financial Materials to Reference When Completing the Data Profile

Starting Materials:
You will need these to begin entering financial data:
  • Final Audited Financial Statements or Review (if applicable)
  • Year-end financial reports from your accounting software
- Profit & Loss (also called a Statement of Activities or Income Statement)
- Balance Sheet (also called a Statement of Financial Position)

Optional Materials:
These may provide helpful information:
  • IRS Form 990, IRS Form 990-EZ

Additional Materials:
Depending on the amount of detail provided in your audit or financial statements, you may need the following:
  • Contribution records
- Number of contributors and amounts contributed by these groups:
* Individuals
* Board members
* Foundations
* Corporations
* Government agencies
  • Multi-year or restricted gift records
- Grant award letters or other internal documents will provide the necessary details, including purpose or time restrictions
  • Payroll records
  • Contracts and invoices for non-employee personnel
- Information about all consultants, whether or not they received 1099s
  • Marketing-specific expense records
  • Year-end investment statements
- Beginning and end of fiscal year investment balances
- Information on any earnings, gains, or losses
- Additions and subtractions from investment accounts
  • Year-end loan statements
- Beginning and end of fiscal year balances
- Repayment information
- Interest rates

- Accumulated depreciation
